eBay UK Listing Removed for Missing Business Details

By September 9, 2026November 2nd, 2026No Comments25 min read

An eBay UK business details warning means a listing or account is missing information that eBay’s UK business seller policy requires, and eBay can remove the listing, warn you, restrict activity or suspend the account until it is fixed. The policy asks every UK business seller to register as a business and show full contact details, any trade organisations and authorisation schemes, and clear pricing that includes delivery and tax. A VAT number must appear if the business’s online activity is subject to VAT. The returns policy must state the return period, tell buyers about the 14 day right to withdraw and accept faulty items within 30 days for a full refund. The fix is to name the exact missing detail, correct the account and every affected listing, log each change with a date and reply only through the route the notice names.

What the eBay UK Business Details Warning Means

eBay’s UK business seller policy exists to make sure the government rules that apply to UK traders are followed on eBay.co.uk. A removal or warning under it means eBay found a listing, or the account behind it, that does not meet one of those rules. The reviewer starts with a single question. Is this seller registered as a business on eBay.co.uk? Most cases turn on the answer, because an unregistered account cannot carry the business seller information block at all.

What eBay may do

The policy states that activity on eBay must follow the policy, the User Agreement and all applicable laws. Where it does not, eBay may act in line with the law and the User Agreement, and the policy notes that eBay may be legally required to act. eBay gives four examples of that action.

  • Removing the listing or other content.
  • Issuing a warning.
  • Restricting activity.
  • Suspending the account.

Those four outcomes are examples, not a ladder. eBay does not promise a warning before a removal, or a restriction before a suspension. A single listing with an incomplete returns policy is usually handled at the listing level. A business that has traded under a private account across a catalog of 400 listings is a deeper problem, because every one of those sales was made without the required disclosures.

Where the notice shows up

eBay’s policy points sellers to Seller Help for details of any policy issue on the account or its listings and the information needed to resolve it. Start there before you touch a listing. Write down which listings are named, which requirement eBay cites and the date of the notice. Those three facts drive every later step.

How long it stays on your account

eBay publishes no fixed expiry for this kind of notice. Treat it as open until every affected listing is fixed and the account details are complete. A dated log of each fix lets you show what changed and when if the account is reviewed again in 6 or 12 months.

First notice compared with a repeat

A first notice is the chance to fix the catalog before anything else happens. A second notice for the same gap tells eBay the first fix did not hold, and the response is likely to move further along the list of actions. The method below works on the cause across the whole account. The listings named in the notice are only where the audit begins.

Which Contact, VAT and Returns Details eBay UK Checks

The UK policy is short, and each line maps to a field you control. Work through them in order.

Business registration

eBay states a seller must register as a business if they sell items bought to resell, make items to sell or buy items for their business. Business sellers cannot present themselves as private individuals. eBay’s Seller Centre page on business accounts says a private account suits clearing out things you no longer want, and that a business account is needed to sell in large quantities or to sell for a business that already trades off eBay. Registration asks for the business name, business type and address. The usual failure is an account opened as private years ago that grew into a reselling business with nobody changing the registration.

Full contact details

The business seller information section must carry full contact details. In practice that means a business name, a geographic address and working contact channels. eBay’s Seller Centre states that listings available to EU buyers show the registered business name, business address, verified email, phone number and, where relevant, the business registration number. eBay says there are no exceptions for registered business sellers. The phone number and email can be changed on the Public business information page in My eBay Account Settings, where they are prefilled from the registration. An old trading address or a phone line nobody answers is the most common gap.

Trade organisations and authorisation schemes

Business sellers must list any trade organisation they belong to and any authorisation scheme relevant to the online business. Most general resellers have nothing to declare here. Sellers in regulated sectors, such as those holding a licence to sell a restricted product, should check that the scheme is named.

Pricing

Listings must give clear price information, including shipping or delivery charges and tax. A delivery charge that appears only at checkout fails this line. So does a price shown without VAT when the buyer is a consumer and nothing says so.

VAT number

The VAT line catches more cross-border sellers than any other. GOV.UK sets the UK registration threshold at £90,000 of taxable turnover over a rolling 12 months. A business that crosses it must apply within 30 days of the end of the month it went over, and registration takes effect from the first day of the second month after. A business that expects to pass £90,000 in the next 30 days alone must register by the end of that 30 day period. A business based outside the UK has no threshold at all. GOV.UK states it must register regardless of turnover if it supplies goods to the UK or expects to within 30 days. US sellers on eBay.co.uk who hold UK stock often miss that rule.

Three VAT failures come up again and again. A registered business shows no number. A number lapsed after a change of entity. A number belonging to a sister company in the same group sits on the account. Each one is a mismatch a reviewer can see in seconds.

Returns policy

Business sellers must publish a returns policy that states how long buyers have to return items for a full refund. The policy must not be misleading. eBay’s own returns settings are the safest place to set it, because they push the same terms to every listing that uses the business policy.

Statutory rights

eBay’s policy names two legal duties. The first comes from the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Regulation 30 ends the cancellation period for a sale of goods 14 days after the goods come into the consumer’s physical possession. Where goods in one order arrive on different days, the 14 days run from the day the last item arrives.

The second duty comes from the Consumer Rights Act 2015. Section 22 sets a 30 day short-term right to reject faulty goods. The 30 days start the day after ownership passes, the goods are delivered and any required installation is done. Perishable goods get a shorter window that matches their expected life. If the buyer agrees to a repair or replacement, the clock pauses until the goods come back. A buyer whose replacement is still faulty then has at least 7 days to reject.

The cost of leaving statutory rights out

Missing withdrawal information is not only a policy issue on eBay. Regulation 31 of the 2013 Regulations says that if a trader fails to give the required cancellation information, the cancellation period runs on. Where the trader supplies the information within 12 months, the buyer gets 14 days from receiving it. Where the trader never supplies it, the period ends 12 months after the normal 14 day window would have closed. Regulation 34 then requires a refund within 14 days of getting the goods back, or of proof they were sent back if that comes first. The refund includes standard delivery, goes back on the same payment method and carries no fee. A trader that skipped the cancellation information also loses the right to deduct for handling beyond what a shop would allow. A missing line of returns text can therefore keep sales open for a year.

Fees business sellers cannot charge

eBay’s UK policy states that business sellers cannot charge restocking fees, cannot keep the original shipping fee on a return and cannot charge buyers return shipping. Returns templates copied from a website or another marketplace often carry exactly these terms. They are one of the most frequent reasons a UK returns policy fails review.

Third-party tools and APIs

eBay’s UK policy also states that only business sellers may benefit from third-party tools and APIs. A seller listing through inventory software, a repricer or a channel integration is expected to be registered as a business. Check that the tool pushes your business policies and returns terms to every listing. A template built in 2021 can quietly overwrite the details you corrected in the account last week.

Product safety details for Northern Ireland buyers

One more layer applies to some UK sellers. eBay’s Seller Centre states that the General Product Safety Regulation took effect on 13 December 2024 for listings to buyers in the EU and Northern Ireland. It does not apply to sales to UK buyers outside Northern Ireland. Article 19 of Regulation (EU) 2023/988 requires a distance sales offer to show the manufacturer’s name and postal and electronic address, an EU responsible person where the manufacturer is outside the Union, a picture and product identifier, and any required warnings. eBay adds that a responsible person must be located in the EU or Northern Ireland. If you ship to Belfast or Derry, our guide to eBay GPSR rules for EU and Northern Ireland buyers walks through the manufacturer and responsible person fields.

A details notice that sits alongside a wider restriction usually has two layers, the missing disclosure and the account status. Sellers already restricted can read what remains open after a permanent eBay suspension and why a restriction can stand after an appeal is denied before writing anything to eBay.

How to Fix the Cause Before eBay Escalates

Our method rests on one position. The business seller details must meet the UK requirements on every listing, not only on the listings eBay named. A fix that stops at the named listings leaves the next notice waiting in the rest of the catalog.

  1. Name the root cause. Write one line that names the missing detail, whether registration, contact details, VAT number, pricing, returns policy, statutory rights text or product safety information. If more than one is missing, list each.
  2. Fix the account. Register the account as a business if it is not already. Enter the business name, type and address exactly as they appear on your registration documents. Set the phone number and email on the Public business information page. Add or correct the VAT number.
  3. Fix the returns policy. State the return period and a full refund. Add the 14 day withdrawal right under regulation 30 and the 30 day faulty goods right under section 22. Remove any restocking fee, any retained original postage and any charge to buyers for return shipping.
  4. Fix every listing. Apply the corrected business policies across the catalog. Then check listings that run on their own templates or older settings, including anything pushed by a listing tool. Relist removed items only once the details are complete.
  5. Verify as a buyer. Open at least 5 live listings on eBay.co.uk while signed out and confirm the business seller information, pricing and returns terms display correctly.
  6. Reply through the named route. If the notice asks for a response, use only the route it names. State what was missing, what you changed and the date. Do not argue that the rule is unfair or that other sellers do the same.

How each business model should fix it

  • US sellers listing on eBay.co.uk. Treat the UK site as its own market. Complete UK-facing business details, set a UK-compliant returns policy and check the GOV.UK rule that non-UK businesses supplying goods in the UK register for VAT with no threshold.
  • Sellers registered as private while trading as a business. Register as a business now. Every further sale under a private account repeats the problem and widens the period a reviewer can question.
  • Sellers of consumer goods shipping to Northern Ireland or the EU. Add the GPSR manufacturer and responsible person fields to those listings as well as the UK business details.
  • Sellers who list through software. Fix the template first, then the listings. Otherwise the next sync puts the old terms back.

Evidence to Keep After the Warning

A missing details case is quick to close and quick to reopen. Records protect you if eBay reviews the account again, and they keep any later reply short and factual.

  • The notice. A copy of the notice and the Seller Help entry, with the date and the listings named.
  • Before and after. Screenshots of the account details and returns policy before the fix and after it.
  • Registration documents. The documents behind the business name, address and VAT number on the account, such as a Companies House record or an HMRC VAT certificate.
  • Listing log. Which listings were updated or relisted, and on which date.
  • Buyer view checks. Dated notes of the listings you opened on eBay.co.uk as a buyer.
  • Reply record. What you sent through the named route, if a reply was requested, and any answer.

Why the details must match the real business

GOV.UK states that reporting rules for digital platforms started in the UK on 1 January 2024. Platform operators collect each seller’s details and sales income and send them to HMRC by the following January, with the first report for 2024 due by 31 January 2025. Sellers with fewer than 30 sales of goods in a calendar year, or less than €2,000 (about £1,700) from those sales, are not reported. A business seller over those lines should expect the name, address and VAT number on the account to be read alongside HMRC’s own records. Our guide to eBay DAC7 reporting for EU sellers covers the matching EU rules for sellers who also trade on eBay.de or eBay.fr.

Your rights if eBay goes further

Business sellers on eBay.co.uk are covered by the UK retained version of the Platform-to-Business Regulation, Regulation (EU) 2019/1150. Article 4 requires a statement of reasons on a durable medium when a platform restricts or suspends a business user’s individual listings, before or at the time the measure takes effect. Ending the whole service needs a statement of reasons at least 30 days before it takes effect. That notice period does not apply where the platform has a legal duty that prevents notice, an imperative reason recognised in law, or proof of repeated breaches of its terms. Article 4 also gives the seller a chance to clarify the facts through the internal complaint-handling system in Article 11, and the platform must reinstate without undue delay if it reverses the decision. These rights matter once a details problem becomes a restriction.

The Digital Services Act is EU law. It governs eBay’s EU sites, and UK sellers who also list on eBay.de can read our guide to eBay DSA trader details for EU buyers. On the UK side, Part 4 Chapter 1 of the Digital Markets, Competition and Consumers Act 2024 has prohibited unfair commercial practices since 6 April 2025. Section 226 covers misleading actions and section 227 covers misleading omissions, which is where hidden delivery charges and false returns terms sit. Treat these sections as background for a compliance review, and take advice on your own facts before relying on them in a dispute.

What Never to Do While the Warning Is Open

  • Relist without fixing. Putting the same listing back with the same gap invites the same action, now as a repeat.
  • Switch the account to private. Moving the other way to avoid the disclosures turns a missing details issue into a misrepresentation issue, because business sellers cannot present as private individuals.
  • Put contact details in the item description. Use the business seller information section and the account settings eBay provides. eBay.de’s contact information policy prohibits names and addresses in item descriptions for all users, and the safe habit on every site is the designated field.
  • Show a VAT number that is not yours. A borrowed or lapsed number is worse than a gap.
  • Write “no returns” for UK consumers. The 30 day right to reject faulty goods under section 22 applies whatever the listing says.
  • Open a new account to start clean. A second account does not fix the business’s disclosures, and our guide to eBay multiple account rules explains why it often makes the position worse.
  • Argue the rule in your reply. The reply should state what changed. Arguments about fairness add nothing.

If a warning has already become a restriction or suspension, our walkthrough of the eBay suspension appeal process covers what to send and when.

Weekly Monitoring Routine for eBay UK Business Details

The routine takes about ten minutes a week. Run it on the same day each week so gaps never sit for longer than 7 days.

  1. Check Seller Help. Look for new policy issues on the account or listings.
  2. Check new listings. Confirm every listing created this week uses the business policies with the correct returns terms.
  3. Buyer view. Open 3 to 5 live listings on eBay.co.uk as a buyer and confirm the business seller information shows.
  4. Account details. Confirm the business name, address, phone, email and VAT number are still current.
  5. VAT turnover. Check rolling 12 month taxable turnover against the £90,000 threshold if the business is UK based and not yet registered.
  6. Changes. If anything changed this week, such as a new address, a new entity or a new VAT registration, update the account the same day.
  7. Log. Record the check and any fix with the date.

eBay UK missing business details fix comparing a private account with a registered business seller account
A composite eBay UK homeware seller before and after the root cause fix for missing business details. Flip between the two to see what changed.

A composite example

The pattern below is a composite drawn from several situations, with no single seller’s details. A small homeware business sells on eBay.co.uk through a listing tool. The account was opened as private when the owner started selling spare stock, and the business later registered for VAT after passing £90,000 in turnover. Several listings are removed for missing business details, and the notice names 3 of them.

The first instinct is to fix the 3 listings and move on. The better fix starts with the root cause. The account was never registered as a business, so the business seller information was missing on all 240 live listings. The owner registers the account as a business and enters the company name, trading address and VAT number. The customer-facing phone line and inbox are set in account settings. The returns policy is rewritten to remove a 15% restocking fee copied from the shop’s website and to add the 14 day and 30 day rights. The integration that feeds eBay is reset to pull the corrected policies on its next sync. Five listings are checked on eBay.co.uk as a buyer, every step is logged with a date, and a short reply goes through the route in the notice. Nothing in that sequence guarantees an outcome. It does remove every reason for the same notice to come back.

Before you list on another site

The same habits carry to other regional sites, with local differences. eBay.de requires legal information under Rechtliche Informationen des Verkäufers and does not accept a post office box as a company address. Our guides on eBay UK and Germany business seller requirements and the eBay.de Impressum and business seller rules cover those steps. Sellers planning volume can read our guide on raising eBay selling limits, where complete business details also support an increase request.

Frequently Asked Questions

Why did eBay UK remove my listing for business details?

eBay UK removed it because the listing or account lacked something the business seller policy requires, such as full contact details, a VAT number, clear pricing or a compliant returns policy. The policy also requires business registration for anyone who resells, makes items to sell or buys stock for a business. Seller Help shows which detail eBay flagged.

What happens if I ignore an eBay UK business details warning?

eBay lists the possible outcomes as listing removal, a warning, restricted activity or suspension. The list is not a fixed sequence, and a repeated gap carries more weight than a first one. Fixing the whole catalog on the first notice keeps the issue at the listing level.

How long does an eBay UK business details warning stay on my account?

eBay publishes no fixed expiry for this kind of notice. Treat it as open until every affected listing and the account details are complete, and keep a dated log so you can show what changed and when.

Should I contact eBay after a UK business details warning?

Only if the notice asks for a reply, and only through the route it names. Correct the account and listings before writing, then state the missing detail, the change and the date in a few lines. If no reply is requested, the corrected listings are the response.

Do I need a VAT number to sell as a business on eBay UK?

You need to show one if your online activity is subject to VAT. A UK business must register once taxable turnover passes £90,000 over 12 months, and a business based outside the UK that supplies goods in the UK must register with no threshold.

Can I charge a restocking fee on eBay UK as a business seller?

No. eBay’s UK business seller policy bars restocking fees, keeping the original shipping fee on a return and charging buyers return shipping.

How do I stop an eBay UK business details warning from coming back?

Run a ten minute weekly check of Seller Help, new listings, buyer view and account details, and update the account the same day the business changes. Fix listing tool templates at the same time as the account, so a sync never restores old terms.
