Etsy Customer Service Warning and How to Recover Visibility

By August 6, 2026November 2nd, 2026No Comments23 min read

An Etsy customer service warning means Etsy has measured your shop against its Seller Service Level Standards and found it short, usually on message response, case handling or on-time shipping. The Seller Policy lets Etsy limit the visibility of your shop and listings, place reserves on your payment account, or suspend the account when a shop does not meet its minimum customer service standards. Etsy’s help center adds that repeat violations can lead to temporary or permanent suspension. The fix is operational. Clear every open message and case, answer any request from Etsy within the 2 calendar days its Cases Policy allows, correct the processing times that create buyer chasers, and keep a dated record of each step. Below we explain how Etsy measures service, what the warning puts at risk, the order we work the fix in, the evidence to keep and the weekly routine that keeps the shop off Etsy’s radar.

What the Etsy Customer Service Warning Means

Etsy’s Seller Policy contains a section titled Meeting Service Level Standards. It states that sellers must provide great customer service and maintain trust with buyers, that these requirements are called the Seller Service Level Standards, and that Etsy may reach out to you if your shop fails to meet them. By selling on Etsy you agree to five service commitments in that section.

  • Honor your shipping and processing times, shipping promptly unless there is an exceptional circumstance.
  • Respond to Messages in a timely manner.
  • Honor the commitments you make in your shop policies.
  • Resolve disagreements or order issues directly with the buyer, with Etsy’s case system as the fallback.
  • Notify the buyer and cancel the order if you are unable to complete it.

A customer service warning is Etsy telling you that one or more of these commitments is failing at a level its systems or reviewers can see. It is the earliest formal signal in this policy area, and it is the cheapest one to fix.

The four areas Etsy measures

Etsy’s help article on customer service standards breaks the standards into four measured areas, each visible on the Customer service stats page in Shop Manager once you have made at least 5 sales in the last three months. The stats refresh daily, and a monthly overview at the top of the page refreshes on the first of every month.

AreaPublished standard
Message response rateRespond to 80% of first messages in a thread within the first 48 hours
On-time shippingAt least 80% of orders marked shipped by the expected ship date
Average review ratingWith under 40 reviews, the limit is no more than 4 reviews of 3 stars or less. With over 40 reviews, the limit is less than 10%
Case rateWith under 300 completed orders, the limit is no more than 3 orders with cases refunded from your account. With 300 or more, it is less than 1%

Two details in the published standards matter for anyone working a warning. Auto-replies count as a first message for the response rate, and marking a message as unread does not make it new again. For the case rate, Etsy only counts cases where a refund was taken from your Payment account, and it excludes orders over $250, orders eligible for Etsy Purchase Protection, and orders you refunded before the buyer opened a case.

What the warning puts at risk

Etsy’s help article lists the consequences of falling short in plain terms. You risk lower search visibility, and you may no longer qualify for Etsy Purchase Protection. Repeated failure on the case rate standard can lead to selling privileges being temporarily or permanently revoked. The Seller Policy adds the payment side.

The Purchase Protection point is the one sellers overlook. Meeting Etsy’s minimum customer service standards is the first eligibility requirement in the Purchase Protection Program for Sellers. A shop under a customer service warning can lose the coverage that pays eligible non-delivery and listing-accuracy cases up to $250. Every case that would have been covered then comes out of your balance. Our guide to Etsy Purchase Protection for sellers explains that coverage in detail.

The 2 Calendar Day Case Response Rule

The single most important number in this policy area sits in Etsy’s Cases Policy. When a case is open and Etsy needs more information, the policy states that Etsy may reach out to you and that sellers must respond within 2 calendar days. Calendar days include weekends and holidays. A request that lands on a Friday evening is due on Sunday.

When we review a shop that has received a customer service warning, the first question we ask is how many Etsy case requests went past that 2-day deadline. The answer usually explains the warning. A shop can have a decent message response rate and still miss Etsy’s own requests, because those requests arrive through a different path and are easy to miss in a crowded inbox.

How a buyer problem becomes a case

The Cases Policy sets out the sequence. A buyer with a problem must first contact you through the Help with Order link in Purchases and Reviews. If the buyer has not heard back within 48 hours, or you cannot resolve the issue within 48 hours, the buyer can open a case. Etsy’s help article adds that a case can only be opened once the order’s estimated delivery date, or its processing time and ship by date, has passed.

Once a case is open, Etsy usually resolves and closes it automatically. The policy states Etsy may issue a refund to the buyer and recoup the funds from your account if the order was paid through Etsy Payments. Etsy also reserves the right to resolve an order issue before the 48-hour window for seller inactivity, harassment, refusal of service, manipulation or undermining the case system. Silence is the fastest way to lose a case you could have won.

Rules that apply while a case is open

  • Do not ask the buyer to close the case. The Cases Policy states a seller cannot encourage or require a buyer to close a case as a condition of resolving the dispute.
  • Participate. Etsy may close or resolve a case because one party stopped participating, and it may reopen a closed case to investigate tracking issues.
  • Keep the conversation on Etsy. Updates to processing times or shipping addresses agreed in Messages or other informal channels do not qualify for Purchase Protection. The written ship by date and the address on the order are what count.

The US law behind shipping delays

For sellers shipping to buyers in the United States, the Federal Trade Commission’s Mail, Internet, or Telephone Order Merchandise Rule, 16 C.F.R. Part 435, sits underneath Etsy’s rules. Section 435.2 requires a seller to have a reasonable basis to ship within the time it states, or within 30 days where no time is stated. If you cannot ship on time, the rule requires you to offer the buyer, clearly and without being asked, the option to consent to a delay or cancel for a prompt refund, with a definite revised shipping date. A buyer who messages about a late order and gets no answer is the exact situation the rule addresses. Answering promptly with a revised date and a cancel option keeps you inside both Etsy’s standards and the federal rule.

If this is already affecting your Etsy account, our Etsy suspension team can review the notice and prepare the response with you.

How to Fix the Cause Before Etsy Escalates

We work a customer service warning in a fixed order. Each step removes a source of new negative data before the next measurement period runs. The order matters because the stats refresh daily, and every day the backlog sits open it keeps counting against you.

Step 1. Answer anything Etsy has asked you

Open your Etsy inbox, including the From Etsy folder, and your case list in Shop Manager. Any open request from Etsy about a case gets answered first, inside the 2 calendar day window, with the facts Etsy asked for, such as tracking, photos, the message history or the refund already issued. Keep the answer factual and short. A reviewer reading a case response wants the order number, what happened, and what you did about it.

Step 2. Resolve every open case and Help with Order request

Work the open cases from oldest to newest. Where the buyer has a valid complaint, refund or replace now. Where the order shipped and tracking shows delivery, provide the tracking. Then clear every Help with Order request that has not yet become a case. Each of those is a case waiting to open in 48 hours.

Step 3. Clear the message backlog

Reply to every unanswered first message. Only first messages in a new thread count toward the response rate, so these are the ones to clear first. Do not try to reset the stat by marking threads unread. Etsy’s help article states that does not count the message as new again.

Step 4. Fix the settings that generate chasers

Most message backlogs we see trace back to buyers asking where their order is. That is a processing time problem. Etsy’s help center explains that processing time is the time you need to get an order ready before handing it to the carrier, that it begins the day after purchase, and that it affects when a buyer can open a case and leave a review. If your workshop takes ten days and the listing says three, buyers start writing on day four. Set processing times your workshop meets in your busiest month. Our guide to the Etsy late shipping warning covers the processing time fix step by step.

Step 5. Install the controls that keep it fixed

The corrective work above clears the current record. The preventive work stops the next warning. At minimum we set up.

  • Saved replies for the four messages you send most, which are order received, order in production, order shipped with tracking, and a delay notice with a revised date and a cancel option.
  • A named owner for the inbox each day, including weekends during peak season.
  • A daily check of the case list and the From Etsy folder.
  • A shop vacation or processing time change before any planned absence.

Running compliantly by business model

The same warning comes from different operating patterns. These are the three we see most, and how each runs inside Etsy’s standards.

One-person shops in peak season. The owner makes, packs and answers messages, and in November the messages lose. Messages wait days and the response rate drops below 80%. To run it compliantly, set an auto-reply that confirms the order and the ship by date (Etsy counts auto-replies as a first message), block a fixed time each day for the inbox, and lengthen processing times before the season starts. A shorter, honest promise produces fewer messages than a fast promise you miss.

Made-to-order and personalized shops. Long production windows invite “is it ready yet” messages, and custom orders invite back-and-forth that buries new buyers. To run it compliantly, state the real production time in the processing profile, send a production update at the halfway point by saved reply, and confirm personalization details in one structured message. If a ship by date will slip, Etsy’s help center allows you to edit the ship by date once, before it passes, by up to 21 days, after confirming with the buyer. Use the tool. An informal promise in Messages does not move the date Etsy measures.

Shops that ignore Etsy’s case requests. Some sellers treat Etsy’s messages as notifications and never open them. Case requests go past 2 days and Etsy resolves the case without the seller’s input. To run it compliantly, route the From Etsy folder to a daily check, turn on email notifications for cases, and treat any message from Etsy about an order as due within one business day, well inside the 2 calendar day rule.

Evidence to Keep After the Warning

A warning rarely asks you to file anything. You still need a file. If the shop slips again and Etsy moves to a suspension, the record you kept during the warning becomes the core of your appeal. Etsy’s appeal guidance asks you to describe the actions you have taken to address the issue, how your practices will change, and to attach supporting documents. Sellers who kept nothing have to reconstruct it under deadline.

Our method for these files follows the same structure we use in an appeal. The position is that buyer issues are now handled within Etsy’s standards and the flagged cases are resolved. The root cause names the specific failure, such as unresolved cases, slow first responses or refunds handled late, with the order numbers involved. The corrective section lists what was already done. The preventive section names the procedure, the owner and the check that now runs. The evidence section holds only documents you can produce.

What goes in the file

  • The notice itself. Save the email or Shop Manager message, with its date.
  • A stats snapshot on the day of the notice. Screenshot the Customer service stats page so you can show the starting point.
  • The case list. Every case open at the time, with how and when each was resolved.
  • Message timestamps. Screenshots showing the backlog cleared, and later screenshots showing first messages answered within 48 hours.
  • Settings changes. Before and after screenshots of processing profiles, shop policies and any vacation settings.
  • The written procedure. A one-page customer service procedure with response and resolution timeframes, the daily owner, and the escalation path inside your own team.
  • Weekly stats. A screenshot each week for at least the next several months.

How to describe the root cause

The root cause is where most written explanations fail. “We were busy” and “we will be more careful” tell a reviewer nothing. A usable root cause reads like an operations finding. First messages went unanswered for several days during a production surge because one person handled making, shipping and messages with no inbox schedule, and three Etsy case requests were missed because the From Etsy folder was not checked. Name the failure, the period and the orders. Do not blame buyers, carriers or Etsy’s tools. Reviewers read blame as a sign the problem will repeat.

What Never to Do While the Warning Is Open

Some of the moves sellers make in the first week after a warning turn a fixable record into a suspension. Avoid all of these.

  • Ignoring Etsy’s messages because the shop is still open. A warning is the period when Etsy is watching most closely. A missed 2-day request now carries more weight than it did before.
  • Pressuring buyers to close cases or change reviews. The Cases Policy bars making case closure a condition of a resolution. Offer the fix and let the buyer decide.
  • Marking orders shipped before they are handed to the carrier. Etsy’s reserve guidance tells sellers not to do this. It also breaks the tracking evidence you need for Purchase Protection.
  • Taking resolutions off Etsy. The Seller Policy prohibits facilitating off-platform transactions, and an off-platform refund leaves no record Etsy can see.
  • Opening a second shop to start fresh. The Seller Policy prohibits duplicate shops created to circumvent Etsy’s policies, and the Terms of Use allow Etsy to suspend accounts it determines are related to yours.
  • Arguing with the standard. Replies that dispute whether 48 hours is fair or explain how hard peak season is do not change the measurement. Show the fix.

First warning compared with a repeat

Etsy does not publish a fixed number of warnings before suspension, and its customer service standards page states only that repeat violations may result in temporary or permanent suspension. Treat a first warning as the moment to install controls. A second notice in the same area tells Etsy the first fix did not hold, and the Etsy Payments Policy lists suspensions or warnings already received among the factors it weighs when deciding on a payment account reserve. If your shop has already moved past a warning, our guide to Etsy suspension for customer service failures covers that stage.

Rights that depend on where you sell

Etsy runs one global marketplace, but the protections around its decisions differ by region. This is general information. It is not legal advice for your shop.

RegionLawWhat it gives you
United StatesFTC Mail, Internet, or Telephone Order Merchandise Rule, 16 C.F.R. Part 435Sets the duty to ship within the stated time or offer the buyer a delay or prompt refund. It governs how you answer late-order messages.
European UnionDigital Services Act, Regulation (EU) 2022/2065, Articles 17, 20 and 21A statement of reasons for restrictions such as demotion of visibility, payment restrictions or suspension on the ground of a terms breach, plus free internal complaint handling for at least six months and access to out-of-court dispute settlement.
European UnionPlatform-to-Business Regulation, Regulation (EU) 2019/1150, Articles 4, 11 and 12A statement of reasons for restrictions, 30 days’ notice before a full termination save for narrow exceptions, the chance to clarify facts through internal complaint handling, and mediation.
United KingdomRetained Regulation (EU) 2019/1150, Article 4The same statement of reasons and 30 days’ notice rule for UK business users, with exceptions limited to a legal or regulatory obligation, an imperative reason under national law, or repeated infringement.

Etsy’s own EU page confirms it runs a free internal complaint-handling system under the Platform-to-Business Regulation, including for sellers who want to clarify the circumstances behind a restriction, and that it has appointed the Centre for Effective Dispute Resolution as its mediator. Sellers in the EU who believe an action was taken in error are told to respond to the email notification they received. Use these routes to correct facts. They do not replace fixing the service record.

Weekly Monitoring Routine for Etsy Customer Service

A warning closes for good when the numbers stay inside the standards month after month. The routine below takes about twenty minutes a week once the backlog is clear. Run it on the same day each week and keep the screenshots.

  1. Open the Customer service stats page. Record the message response rate, on-time shipping, review rating and case rate. Note any area within five points of the threshold.
  2. Review the case list. Confirm no case is open without your response and no Etsy request is older than one day.
  3. Check first-message response times. Look for any thread that waited more than a day. Find out why and fix the cause, whether it was a weekend gap, a holiday or an auto-reply that did not fire.
  4. Compare processing times with actual dispatch. Etsy’s help center explains that your actual processing time is calculated from the past 120 days of shipped orders, with a minimum of 5. If actual dispatch runs longer than the listed time, lengthen the listed time now.
  5. Read the week’s reviews of 3 stars or less. Each one usually names a service gap. Reply professionally and fix the gap. Etsy may remove reviews about things outside your control, such as a carrier delay, under its review policies.
  6. Look ahead two weeks. Planned time off, a sale, a craft fair or a supply delay all change capacity. Adjust processing times or use vacation mode before the orders arrive.

What steady compliance looks like

A shop that has put the warning behind it shows the same pattern every week, with no first message older than a day, no Etsy request older than a day, processing times that match dispatch, and a case list that empties as fast as it fills. Etsy’s reserve guidance names the same behaviors as the ones that show a reserve is no longer needed, which are shipping within processing times, providing good customer service and keeping the shop in good standing. Shops that reach Star Seller level are not placed in reserve at all, according to the same page. The service standards and the money are connected. Frequently Asked Questions

How fast must I answer Etsy case requests?

Within 2 calendar days. Etsy’s Cases Policy states that Etsy may reach out for more information on a case and that sellers must respond within 2 calendar days. Weekends count, so check the case list and the From Etsy folder every day.

What happens if I ignore an Etsy customer service warning?

Etsy can reduce your search visibility, place reserves on your payment account and suspend the shop. Its help center states that shops falling short of the standards risk lower visibility and may lose Purchase Protection, and that repeat violations may lead to temporary or permanent suspension.

How long does an Etsy customer service warning stay on my account?

Etsy publishes no fixed expiry for this kind of notice. Check Shop Manager and the Policy violations page, watch the Customer service stats page, and keep a dated log of each fix so you can show the record if Etsy reviews the shop again.

Should I contact Etsy after a customer service warning?

Fix the cause first, then reply only through the channel named in the notice and state exactly what changed. Answer any open case request from Etsy within 2 calendar days in the meantime. A reply without a completed fix gives Etsy nothing to review.

How do I stop an Etsy customer service warning from coming back?

Answer Messages daily and reply to any Etsy case request within 2 calendar days. Set processing times your workshop meets in peak season, use saved replies for order updates, and run the weekly stats check described above.
