Quick answer. Etsy late shipping means an order was not marked shipped by 11:59pm on its ship by date, and repeated misses lead to lost cases, payment account reserves and suspension. Section 1d of the Seller Policy requires you to honor your shipping and processing times, and Section 1c(9) requires every order bound for the United States to ship with a Delivery Duty Paid (DDP) method. Etsy grades that promise with an on-time shipping stat in Shop Manager. A late order also falls outside Purchase Protection, the program that covers buyer refunds up to $250 on qualified orders. Cases are decided against you first, then reserves hold part of every sale, then the shop loses visibility and faces suspension. The fix is to set processing times your workshop meets, ship every order with valid tracking, ship US orders DDP, and mark an order shipped only when the carrier has it.
What Etsy Requires on Processing and Shipping
Etsy’s Seller Policy, last updated October 5, 2026, sets the obligation in Section 1d, Meeting Service Level Standards. By selling on Etsy you agree to honor your shipping and processing times. The policy states that sellers are obligated to ship an item or otherwise complete a transaction with a buyer in a prompt manner unless there is an exceptional circumstance, and it notes that legal requirements for shipping times vary by country. The same section requires you to notify the buyer and cancel the order if you cannot complete it.
Section 1c(9) of the Seller Policy covers US-bound orders. You must make sure any orders shipped to the United States are sent using a Delivery Duty Paid shipping method, and you must not take any action, including Delivery Duty Unpaid shipping, that would result in buyers being charged additional fees after purchase.
How Etsy measures on-time shipping
Etsy’s help article on customer service standards defines on-time shipping as orders shipped according to the processing times you set in your listing. At least 80% of your orders need to ship on time to meet the standard. The stat counts the percentage of orders that were marked as complete by your expected ship date and included a processing time. It excludes carrier delays, digital orders, canceled orders and orders with ship dates outside the review period. You can see the stat on the Customer service stats page in Shop Manager once you have at least 5 sales in the last three months. Daily progress refreshes every 24 hours and the monthly overview refreshes on the first of each month.
Late shipping rarely stays inside the on-time stat. The same help article sets two related standards that late orders drag down. You must respond to 80% of first messages in a thread within 48 hours, and a shop with fewer than 300 completed orders should have no more than 3 orders with cases refunded from its account. Above 300 orders the line is fewer than 1%. Three late orders that turn into refunded cases can put a small shop over the case limit on their own.
Where tracking is required and where it is not
Tracking is the most misunderstood part of this policy area. Etsy’s help article states that tracking is best practice but not required to meet the on-time shipping standard. It is required in three other places that matter more to your money.
- Purchase Protection. The Purchase Protection Program for Sellers requires valid tracking or, where available, a shipping label bought on Etsy before Etsy will cover a non-delivery or late case.
- Reserve release. Etsy’s reserve guidance states that valid tracking releases reserved funds as soon as Etsy can confirm the order is in transit. Without it, funds stay held for the full period.
- Star Seller. Tracking on eligible orders is required to earn Star Seller badges, and Etsy states that Star Sellers are not placed in reserve.
A shop can meet the on-time standard without tracking and still lose cases, wait months for its money and miss the badge that protects it from reserves. Our routine treats tracking as mandatory on every physical order.
Honoring Stated Times
The reviewer checks dispatch against your stated processing time, so the first question we ask in any late shipping case is whether the processing time setting matches reality. In most of the shops we review, it does not. The listing promises three days because three days sells, and the workshop takes seven.
How processing time and the ship by date work
Etsy’s help center explains the mechanics. Processing time is how much time you need to get an order ready to ship. Processing times begin the day after purchase and follow your order processing schedule, which can include or exclude weekends and holidays. The ship by date is the date you commit to ship, set by the longest processing time in the order. You must mark the order shipped by 11:59pm on the ship by date in your shop’s time zone, and a ship by date that falls on a day post offices usually close moves to the next business day.
Processing time does more than set the buyer’s expectation. Etsy states it also affects when the buyer can open a case and when they can leave a review. A short processing time opens the case window sooner.
Actual processing time
Etsy calculates an actual processing time from your shipped orders over the past 120 days, with a minimum of 5 orders. If you consistently ship faster than your listed time, buyers may see estimated delivery dates based on your actual speed. Etsy asks that the ship date you enter when completing an order match the date you hand the order to the carrier, so the calculation stays accurate. Entering a ship date before the package leaves your hands distorts the data Etsy uses and breaks the tracking evidence you need later.
When a date has to move
Etsy gives you one formal tool. You can edit the ship by date once, before the original date has passed, and extend it by up to 21 days. Etsy asks you to confirm the new date with the buyer first, and the buyer is sent an updated estimated delivery date automatically. Agreements made in Messages do not count. The Cases Policy states that updates to processing times or shipping addresses made through Messages or other informal channels will not qualify for Purchase Protection, and the Purchase Protection terms repeat that informal agreements to change the shipping date do not qualify.
Processing time audit
- Export the last 90 days of orders. For each, note the purchase date and the date the carrier first scanned the package.
- Calculate the real handling time for each order in business days, matching your processing schedule.
- Group the results by processing profile. Find the time within which 9 out of 10 orders shipped.
- Compare that figure with the processing time on each profile. Any profile where reality runs longer needs a longer setting.
- Repeat the calculation for your busiest month last year. Use the longer of the two figures in peak season.
- Check every listing has a processing profile. Etsy states that if any item in an order lacks a processing time, the whole order shows no ship by date at checkout.
- Confirm the processing schedule matches the days you ship, including holidays for US and Canada sellers who set holiday preferences.
- Record the before and after settings with screenshots and the date of change.
Which Etsy shops ship late and how each one fixes it
Made-to-order shops that promise a three-day turnaround. This is the most common source of late shipments we see. A seller lists a three-day turnaround on items that take a week to make in busy months. Every order ships late, buyers write, and cases open as soon as the ship by date passes. To run it compliantly, run the audit above, set processing profiles to the time the workshop meets in peak season, and use the Made to order label in the processing profile so the setting reflects how the item is produced. A longer honest time converts less on day one and loses far fewer cases.
International sellers shipping to the US. Distance adds transit time and customs adds risk. Etsy’s help center notes that as of August 29, 2025, when the US ended the de minimis exemption, most packages shipped to the US are subject to tariffs. Etsy also suspended Canada Post label purchases and Evri labels for US-bound packages effective August 25, 2025, so sellers on those services had to switch carriers. To run it compliantly, ship US orders with a DDP service, set estimated delivery dates that include customs time, and use tracked services that report scans in the destination country. The DDP section below explains the requirement.
Sellers using untracked mail to save cost. Untracked letter post looks cheap until a buyer reports non-delivery. With no tracking, the order does not qualify for Purchase Protection, the reserve cannot release early, and you cannot prove the package left. To run it compliantly, price tracked shipping into the item or the shipping charge. On low-value items, compare the cost of tracking with the cost of one refunded case. The arithmetic usually favors tracking.

DDP for US Orders
Delivered Duty Paid means the seller pays tariffs, duties and import fees up front, so the buyer pays nothing on delivery. Etsy’s help center describes the alternative, Delivered Duty Unpaid, as the model where the buyer pays any applicable tariffs, duties, taxes and carrier handling fees when the order arrives. Etsy’s Seller Policy prohibits DDU for US orders and any other action that would result in a US buyer being charged additional fees after purchase.
The requirement runs through three Etsy documents, two of which took their current form on July 9, 2026.
- Seller Policy. Orders shipped to the United States must use a DDP method.
- Cases Policy. If a US buyer is charged duties or other charges on delivery because the seller did not, the buyer may claim a refund of those charges. If the buyer refuses delivery as a result, the buyer may claim a full refund including shipping costs and customs duties.
- Purchase Protection Program for Sellers. DDP on US orders is an eligibility requirement. Etsy may recognize limited exceptions where a DDP option is genuinely unavailable, but only where the seller obtained explicit buyer confirmation in Messages that charges may apply, with an accurate estimate. Etsy may verify the seller’s claim.
Section 3c of the Seller Policy also states that where a case falls outside Purchase Protection, the refund you owe can include customs duties or import fees that arose because you failed to use DDP when required. A missed DDP label can turn a sale into a full refund plus the buyer’s import costs.
Etsy provides tools to make DDP workable. Its US estimated tariffs calculator estimates US duties and taxes and suggests HS codes when you create or edit a listing, though Etsy states the estimates are a guideline and you should validate them. Sellers outside the US can set US-specific prices on listings to account for tariffs. UK sellers can buy Royal Mail International Tracked DDP labels on Etsy. How Etsy Late Shipping Leads to Reserves and Lost Cases
Owners usually notice a late shipping problem through money before they notice it in the stats. Either a reserve appears in the Payment account or a case closes with a refund taken from the balance.
How late shipping loses cases
The Cases Policy, effective July 9, 2026, lists the order eligibility rules. A buyer can open a case once the order passes its estimated delivery date or its processing time and ship by date, after first contacting you through Help with Order and giving you 48 hours. Late delivery is one of the four case reasons, alongside non-delivery, damage and not-as-described. Buyers receive a full refund for purchases that arrive after a reasonable period beyond the end of the estimated delivery window. Once a case is open and Etsy asks you for more information, you must respond within 2 calendar days.
Purchase Protection is what decides who pays. The program covers non-delivery and late cases only for orders shipped within the stated processing time, with valid tracking, through Etsy Payments, with DDP on US orders and with the other conditions met. Etsy may cover buyer refunds up to $250 on any case arising from a qualified order. A late shipment fails the first condition. The case is then yours, and the Cases Policy allows Etsy to refund the buyer and recoup the funds from your account. Our guide to Etsy Purchase Protection for sellers lists every condition.
One exception helps sellers with tracking. The Cases Policy states that items arriving late because of events outside the seller’s reasonable control, such as a carrier strike, natural disaster or governmental action affecting shipments including tariff or customs changes, do not qualify for Purchase Protection as late deliveries. With tracking showing the package left on time, you can show where the delay arose.
How late shipping triggers reserves
Etsy’s reserve guidance lists orders that aren’t shipped on time and orders consistently missing tracking information or tracking events among the risk factors for a payment account reserve. Section 7B of the Etsy Payments Policy, last updated July 31, 2026, adds the backlog of orders, the availability of tracking information, the types of goods sold, estimated delivery times and the shipping status of active orders. When a reserve is placed, Etsy emails you and a percentage of each new sale of a physical item is held. The percentage and holding time show in the Payment account and vary by shop. Funds release when you add tracking that Etsy can confirm shows the order in transit, or after the default holding period if there is no tracking. Etsy states that for most sellers the reserve is removed within 90 days, and that it can be extended if fulfillment concerns continue. Our guide to the Etsy reserve triggered by late shipping explains how to shorten it.
The law behind the buyer’s refund
Etsy’s rules sit on top of consumer law in each market. The table summarizes each statute from its official publisher, and the buyer’s location decides which one applies to an order.
| Region | Law | What it requires of the seller |
|---|---|---|
| United States | FTC Mail, Internet, or Telephone Order Merchandise Rule, 16 C.F.R. Part 435 | Under § 435.2(a) you need a reasonable basis to ship within the time stated, or within 30 days if no time is stated (50 days when the buyer applies for credit). If you cannot, § 435.2(b) requires a delay option notice with a revised date or cancellation. Refunds go out within 7 working days under § 435.1. Under § 435.2(a)(4), lacking records of shipping systems creates a presumption that you had no reasonable basis. |
| European Union | Consumer Rights Directive, Directive 2011/83/EU, Article 18 | Unless agreed otherwise, deliver without undue delay and no later than 30 days after the contract. If you miss it, the consumer calls on you to deliver within an additional period and can terminate if you miss that too. |
| United Kingdom | Consumer Rights Act 2015, section 28 | Unless a time is agreed, deliver without undue delay and in any event within 30 days after the contract. If you miss a deadline the consumer sets, the consumer can end the contract and must be reimbursed without undue delay. |
The US rule deserves attention from every seller shipping there. Its record-keeping presumption means a shop that cannot show how it plans and tracks dispatch is presumed to lack a basis for the times it states. A processing time audit and dispatch log are good operations and good evidence.
Repeated Issues and Suspension
Etsy treats repeated shipping failures as a service standards problem. Its help article states that shops falling short of the standards risk lowering search visibility and may lose Purchase Protection eligibility, and that repeat violations of the standards may result in temporary or permanent suspension of selling privileges. Late shipping usually shows up in more than one standard at once. Late orders generate messages, messages left unanswered lower the response rate, and late cases refunded from your account raise the case rate toward the limit of 3 refunded cases for shops under 300 orders.
The Seller Policy allows Etsy to limit visibility, place restrictions or reserves on the payment account, or suspend the account where a shop does not meet its minimum customer service standards or where Etsy believes the shop’s actions may result in buyer disputes or chargebacks. Etsy does not publish a fixed number of late orders before suspension.
First issue compared with a repeat
A first late shipping problem usually arrives as a reserve, a lost case or a drop in the on-time stat. That is the stage to run the audit and reset processing times. Our guide to the Etsy late shipping warning covers the response. A repeat after a reserve or warning tells Etsy the first fix did not hold, and the Etsy Payments Policy lists suspensions or warnings already received among the factors it weighs. If the shop is suspended, Etsy’s appeal process for a permanent suspension runs through its Appeals Center within 6 months of the suspension date. Etsy states a decision can take up to two weeks and describes that decision as final.
What the appeal has to show
Our method for a shipping-driven suspension follows a fixed structure. The position is that shipping metrics are within target after the corrected process. The root cause names late dispatch, missing tracking or DDP gaps, with the affected order numbers. The corrective section shows the affected orders resolved and the processing times fixed. The preventive section describes weekly dispatch monitoring with processing-time buffers. The evidence is the affected orders, the tracking records and the current metrics. Etsy’s appeal guidance asks for the same substance, what you did to address the issue, how your practices will change, and supporting documents.
Regional rules on platform decisions
Sellers in the European Union are covered by the Digital Services Act, Regulation (EU) 2022/2065, which requires a statement of reasons for visibility restrictions, payment restrictions and account suspensions imposed for a terms breach, and internal complaint handling for at least six months. The Platform-to-Business Regulation, Regulation (EU) 2019/1150, adds 30 days’ notice before full termination under Article 4(2), except in the cases listed in Article 4(4), such as repeated breach of the terms. Article 11 requires a free internal complaint system and Article 12 requires at least two named mediators. UK sellers have the retained version of Article 4 of that Regulation. Etsy’s EU page confirms its free complaint-handling system and names the Centre for Effective Dispute Resolution (CEDR) as its mediator.
Shipping Routine
The routine below keeps a shop inside the standards and builds the evidence an appeal would need. It is the same routine we put in place for clients after a reserve or suspension.
Daily
- Check orders due today. Sort the Orders page by ship by date. Anything due today ships today or gets a formal ship by date change before the date passes.
- Ship with tracking. Every physical order, every carrier, every destination. US orders go DDP.
- Mark shipped at handover. Mark the order shipped and add tracking only when the carrier has the package. Etsy’s reserve guidance warns against marking items shipped before drop-off.
- Answer order messages. Status questions are early warnings. Answer within the day, with tracking.
Weekly
- Read the on-time stat. Record the Customer service stats figure. Investigate any week under 90%, leaving room above Etsy’s 80% line.
- Compare actual with listed processing time. If dispatch is drifting longer, lengthen the listed time before the next order comes in.
- Review tracking exceptions. Find packages with no scan after handover and contact the carrier.
- Check the Payment account. Look for a reserve notice and for orders with an Order in reserve badge.
- Look ahead. Holidays, supply delays and sales change capacity. Adjust processing times in advance, before orders arrive under the old setting.
Before every peak season
- Rerun the processing time audit with last year’s peak data.
- Confirm the DDP service for US orders is active and the US-specific prices include tariff estimates.
- Set the holiday schedule in your processing settings where available.
- Prepare saved replies for delay notices that give a revised date and offer cancellation.

Frequently Asked Questions
Does Etsy require me to ship on time?
Yes. Etsy’s Seller Policy requires you to honor your shipping and processing times, and its customer service standard expects at least 80% of orders to be marked shipped by the expected ship date. Late orders also fall outside Purchase Protection.
What is DDP on Etsy?
DDP means Delivered Duty Paid, and Etsy requires it on orders shipped to the United States. The seller pays tariffs and import fees up front so the buyer is not charged on delivery. It is also a Purchase Protection eligibility requirement for US orders.
Can late shipping cause a reserve?
Yes. Etsy lists orders not shipped on time and orders consistently missing tracking among the risk factors for a payment account reserve. Valid tracking that Etsy can confirm releases reserved funds early.
Can late shipping lose me cases?
Yes. A late order opens the case window and falls outside Purchase Protection, which only covers orders shipped within the stated processing time. Etsy can then refund the buyer and recoup the funds from your account.
Can repeated late shipping suspend my shop?
Yes. Etsy states that repeat violations of its customer service standards, which include on-time shipping, may result in temporary or permanent suspension. Etsy also lists lower search visibility and loss of Purchase Protection eligibility for shops that fall short.
